Job Responsibilities for this position may include but are not limited to:
- Provides counsel to applicants regarding requests and investigates visa alternatives
- Analyzes business needs and timing factors to determine the quickest and most cost-effective way to meet the customers’ needs
- Coordinates visa applications and handling between employees or their assistants and the preferred Visa Services
- May include coordinating the delivery of visa to the applicant while en route to another location or an offsite location
- Responds to changes in business travel, visa and passport regulations, multiple visa requests, and tracking the status of visas – often working under tight time constraints
- Processes visas for executive group travel including pilots of Company planes
- Facilitates solutions to visa “emergencies.”
- Liaisons with international locations to obtain necessary documentation which must accompany visa application, e.g., visa approval notices and invitations to travel
- Requests Government or Company letters of invitation or approvals for temporary work permits and business visas
- Counsels applicants and investigates visa alternatives
- Coordinates delivery of passports using Company camera takes and prints passport and visa photos
- Documents work processes and promotes communication within team members in San Ramon and Houston
- Participates in all Business Unit related policies, procedures and governances
- Manage Corporate Travel Department (CTD) licensing, registrations, equipment – ARC, IATA, CWT, SABRE GDS,
- DOJ, Fed and State up to date with required payments and periodic qualifications.
Required Qualifications:
- High School Diploma or equivalent
- A minimum of 5+ Administrative and Travel experience combined
- Strong proficiency in Microsoft Suite
- Strong organization skills
- Meticulous attention to detail
- Ability to communicate in a clear and concise manner both orally and in writing
- Ability to prioritize and multi-task
- Ability to work with a diverse customer base and maintain a positive attitude
- Demonstrated ability to work independently with minimal supervision
Preferred Qualifications:
- Knowledge and experience in obtaining visas and temporary work permits
- Experience with State Department passport/international travel requirements in order to secure necessary visas in a timely manner
